VW camper hire Midlands - T&C's.

This is the boring bit, but please bare with us after all we had to write them!

All of the below exists for a reason, not only to protect us as a business but for your benefit as a hirer. Please take 5 minutes to read through in full as you’ll be asked to sign your agreement prior to hiring and be liable thereafter.

Definitions Except were otherwise stated the following words and phrases have the same meaning wherever they appear throughout these Terms & Conditions.

25seven Camper Hire agrees to hire the vehicle (including any replacement vehicle) to you subject to these Terms & Conditions and the information and conditions contained on the Booking and Insurance Agreement Forms that you will be asked to sign. In signing the Booking Agreement Form you accept these Terms & Conditions and confirm that you will strictly comply with them. The rights and obligations contained in these Terms & Conditions govern your use of our vehicle and are not transferable by you. You acknowledge that the vehicle is owned by us and that any attempted transfer, sub rent alterations or amendments of the vehicle by anyone other than us is prohibited and a criminal offence. We permit you to use the vehicle on the Terms & Conditions of this rental agreement only.

Booking Only on receipt of the signed Booking Agreement Form, signed Insurance Agreement Form, booking deposit and total of all hire fees shall the booking take full affect and be classed as confirmed. A security deposit of £250 is payable on collection of the campervan. All rights are reserved to refuse any booking under any circumstance.

Charges The charges stated on the rental invoice reflect your use of the vehicle during the rental period and include basic rental charges, insurance, charges for any optional or ancillary services chosen by you, and any applicable taxes at the prevailing rate.

Choice of Campervan Although we aim to provide you with a choice of campervans from those available at the time of booking, we must allow for unforeseen circumstances. We reserve the right to provide you with a suitable alternative, without notice, upon collection. Should a substitute not be available, our liability is limited to a full refund of monies received by 25seven Camper Hire in relation to the booking. We will not have any other liability to you.

Hire Period The term ‘hire period’ simply covers the time from collection until return as detailed on the Booking Agreement Form.

Collection Collection of the hire vehicle is from 2.30pm on the first day of hire, from either 25seven’s premises or alternatively we can arrange collection of hirers from either Birmingham New St or International train stations. When collecting your campervan please allow an hour for us to demonstrate the various features of the campervan and complete the rental paperwork.

Return Return of the hire vehicle must always be by 11am on the last day of hire to 25seven’s premises, following which we can arrange return of hirer’s to either Birmingham New St or Birmingham International train stations. Please allow sufficient time to get back to our premises so that you do not push the campervan too hard and risk causing costly engine damage. If a campervan is returned to us later than the agreed time without 25seven’s prior agreement, you will be liable to a late return fee at the rate of £50 per hour. Should the vehicle be return so late as to affect the subsequent booking and render 25seven liable to costs, such costs will be passed on to you. You will remain fully responsible for the vehicle until it has been signed as returned with no refund being given for early return of the vehicle. Any personal items left in the campervan post hire will be returned to the hirer and you will be charged for postage and packing only.

Security Deposit To allow us to release the vehicle on collection, we require a £250 security deposit payable in cash or cheque which is refundable on safe return of the vehicle in the condition in which it left our premises, subject to a satisfactory inspection by us. This is to cover the possibility of additional charges that may arise from your use of the vehicle during the rental, and may include loss of or damage to the vehicle and its contents, insurance excess, additional cleaning service charge, late return charge, and any road tolls or fines for charges arising from traffic or parking offences during the rental. All charges are subject to final calculation after the rental period with deposits being refunded within 7 days of the final day of hire. We will only cash a cheque should we need to cover some of the above costs, with an itemised invoice being provided detailing the charges incurred by you. In instances where the deposit does not cover the total the difference will be sought via invoice payable 14 days from issue.

Condition Each vehicle will be subject to a pre and post-hire inspection in which both a 25seven representative and the hirer will check items such as oil level, bodywork and inventory. You will be provided with a copy of the pre-hire inspection results prior to leaving 25seven’s premises for use when comparing condition on returning the vehicle at the end of the hire period. Signing of the pre-hire inspection form is acknowledgment that you will be responsible for any loss or damage to the vehicle, its documents, parts or accessories arising during the rental period. You agree that we are entitled to charge you an additional cost of £50, if the vehicle requires more than our standard cleaning on its return, allowing for reasonable use.

Fines and Penalties Hirers are personally liable for all road tolls, fines and legal penalties (e.g. parking tickets, speeding fines) which are incurred during the period of the hire. If we are still holding your security deposit at the time of being made aware of any fine, we will deduct this sum from the security deposit. Any charges subsequently notified to us post-hire, will be immediately invoiced to the hirer and we will require payment within 14 days of issue.

Cancellation In the event of a cancellation between a booking being placed and 28 days of the hire period, the booking deposit is forfeited. If confirmed bookings are cancelled within 28 to 14 days of the start of the hire period then the cancellation fee is 50% of the total hire charge. However, if we do subsequently achieve another booking for the same hire period we will waive the cancellation fee minus the booking deposit. If confirmed bookings are cancelled within 14 days of the hire period or the hirer is a no show then the fee is 100% of the total hire charge. 25seven takes no responsibility for any detention, delay or loss that a hirer might experience no matter how it is caused or by whom, where a hirer changes, cancels or seeks to vary agreement after departure. No refunds are given for days not utilised.

Insurance 25seven insure our vehicles on a self drive hire basis using a fleet insurance policy provided by a reputable and established insurance provider, regulated and authorised by the Financial Services Authority. Comprehensive cover for the hirer is included within the hire fee, based on you completing and meeting the following conditions of our Insurance Agreement Form:

If you fall outside of the above criteria you may still be able to be insured through 25seven although our insurer may subject you to an increased excess above our standard £250 level. Such additional excess will be confirmed in writing within 48hrs of receipt of Insurance Agreement Forms. It is paramount that the Insurance Agreement Form is completed in full, honestly and truthfully to avoid you being rendered liable for all losses howsoever sustained including claims by third parties through misinformation. Additional drivers up to a maximum of three per vehicle can be added to the rental insurance policy at a cost of £5 per driver per day, subject to the above same conditions as that of the hirer. Each additional driver will receive the same comprehensive cover as that of the hirer and is subject to the same liability should any incorrect information be provided on the Insurance Agreement Form. The vehicle must only be driven by those named drivers as agreed with 25seven and whom have completed and signed an Insurance Agreement Form. In order to affect insurance cover we require sight of each of the following items; paper and card driver license, and two other proofs of address such as utility bills or statements no more than six weeks old from the first day of hire. You cannot drive away a campervan without us having sight and taken copies of your licences and ID documents. No exceptions can be made to this. Insurance is only for our campervan and equipment that belongs to the campervan. You are advised to take out your own personal effects and travel insurance. Our insurance does not cover fire caused through the use of cooking and heating appliances provided as standard equipment within the campervan or otherwise. Should any instance of fire be found to have originated through negligence on behalf of the hirer then you will be liable for all associated costs including where necessary, the full value of vehicle replacement. 25seven are regrettably only able to insure drivers for UK travel only. Travel into Ireland is classed as European travel by our breakdown and insurance company and so is prohibited. Limitations for use exclude the carriage of passengers or goods for hire or reward, racing, pacemaking, use on any track, test circuit or off road activity, use in any contest, reliability or speed trial, or use in connection with the Motor Trade. You are authorised to drive the vehicle on the conditions of the insurance Policy Document and our Terms & Conditions. If you do not comply with these conditions, you will be liable to us for any liability or loss incurred by us or any damages or reasonable expenses we suffer or incur as a result of your breach. You may additionally lose the benefit of any waivers of insurance selected by you. A copy of the insurance Policy Document is available on request.

Excess If an insurance claim is made, the hirer is responsible for a £250 excess which is due in each and every incident. The excess applies in respect of each claim, not rental. In cases whereby a driver has been subject to an increased excess then the excess as quoted on the hire invoice will apply.

In the event of vehicle theft, you must return the keys to us. You agree to co-operate with us and our insurers in any investigation or subsequent legal proceedings arising out of any loss of or damage to the vehicle. Upon notification, should the vehicle be rendered unfit to drive or unsecure 25seven will make arrangements for the vehicle to be returned to our premises. Your liability may include the cost of repairs, loss in value of the vehicle, loss of rental income, towing and storage charges and an administration charge, which recovers our costs for handling any claim arising from damage caused to the vehicle unless responsibility for the damage lies with us or has been determined by a third party or their insurers to lie with the third party.
